Granite Quill Mailworks ("we", "us", "our") respects your privacy and is committed to handling personal information with care. This policy explains what we collect, how we use it, and the choices you have. It applies to md-dc-va-mail.com and to information you give us when you call, write, or visit the shop.
1. Information we collect
Information you provide
- Name, business name, mailing address, email address, and phone number when you request a quote or place an order.
- Mailing lists you upload to us so that we can address and mail your job. These lists are treated as confidential.
- Billing information such as a credit-card last-four or check number for paid invoices.
Information collected automatically
- Basic server log data such as IP address, browser type, date and time, and the pages you visited on our website.
- Cookies — see our Cookie Policy for details.
2. How we use information
- To prepare quotes, produce print jobs, address mailings, and deliver work to the United States Postal Service.
- To answer questions and respond to messages you send us.
- To send invoices, statements, and occasional service updates related to work you have ordered.
- To meet legal, tax, and postal compliance requirements.
3. Mailing lists and client data
Mailing lists you provide to us are used only for the job you authorise. We do not rent, resell, or share your mailing list with any third party. Lists are stored on a local server in our Granite City office and are deleted 90 days after the mail date unless you ask us in writing to retain them.
4. How we share information
We do not sell personal information. We share information only with:
- The United States Postal Service, as required to mail your job (address blocks, indicia, postage statements).
- Service providers who help us run our business — for example, our accountant, our hosting provider, and our payment processor — under written confidentiality terms.
- Law enforcement or government authorities when required by valid legal process.
5. Data retention
We keep order records for seven years to meet tax and audit requirements. Mailing lists are deleted after 90 days. Website server logs are retained for 30 days.
6. Your choices
- Access and correction. You may ask us what information we hold about you and request corrections.
- Deletion. You may ask us to delete the personal information we hold, subject to legal retention requirements.
- Email preferences. Our messages are transactional. You can ask us to stop emailing at any time.
To exercise any of these rights, write to admin@md-dc-va-mail.com or call (618) 452-8655.
7. Security
We use reasonable physical, technical, and administrative safeguards to protect personal information, including encrypted backups, locked storage for paper records, and access controls on our internal systems. No method of transmission is perfectly secure, but we take reasonable steps and review them annually.
8. Children
Our services are not directed to children under 13, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this policy as our practices change. The "Last updated" date at the top reflects the most recent version. Material changes will be announced on this page for 30 days.
