Terms of Service

These Terms govern your use of the website at md-dc-va-mail.com and the print and mail services provided by Granite Quill Mailworks, an Illinois sole proprietorship with its principal place of business at 1403 Butternut Lane, Granite City, IL 62040.

1. Quotes and orders

All written quotes are valid for 30 days from the date issued. A quote becomes a binding order when you confirm it in writing (including email) and, for new clients, when a 50% deposit is received. Verbal approvals are accepted only for repeat clients with an account in good standing.

2. Files, proofs, and approval

You are responsible for the accuracy of the files, copy, and mailing list you provide. We will produce a printed or PDF proof for every job. Production does not begin until you approve the proof in writing. Errors discovered after proof approval are the responsibility of the client.

3. Turnaround and delivery

Stated turnaround times are estimates based on normal operating conditions. We are not responsible for delays caused by the USPS, common carriers, weather, equipment failure, or other events outside our reasonable control. We will communicate promptly if a delay is expected.

4. Pricing, postage, and payment

Prices for paper, ink, and labour are guaranteed by the written quote. Postage is a pass-through cost and is billed at the actual rate charged by the USPS on the date of mailing. Net invoices are due within 30 days. A late charge of 1.5% per month may apply to overdue balances.

5. Mailing lists

Client-supplied mailing lists remain the property of the client. We use them only for the authorised job and delete them per our Privacy Policy. Lists rented through us are licensed for a single use and may not be retained, copied, or re-mailed.

6. Cancellation

You may cancel an order at any time before production. If production has begun, you are responsible for materials and labour incurred to that point. Orders cannot be cancelled once they have been delivered to the USPS.

7. Warranty and remedy

We warrant that printed materials will conform substantially to the approved proof. If a job is materially defective due to our error, our remedy is, at our option, to reprint the defective portion at no charge or to refund the printing charges for the defective portion. We are not liable for indirect, incidental, or consequential damages.

8. Intellectual property

You represent that you own or have permission to use any artwork, logos, photographs, and copy you submit. You grant us a limited licence to use those materials solely to produce your job. The design, code, and content of this website are © 2026 Granite Quill Mailworks.

9. Acceptable use of the website

You agree not to use this site to send spam, scrape content, attempt to gain unauthorised access, or interfere with normal operation. We may suspend access if we believe these terms have been violated.

10. Disclaimer

The website and its content are provided "as is" without warranty of any kind. We do our best to keep information accurate but make no guarantees about completeness or fitness for a particular purpose.

11. Governing law

These Terms are governed by the laws of the State of Illinois without regard to conflict-of-laws principles. Any dispute will be resolved in the state or federal courts located in Madison County, Illinois.
